Nature of Work
Performs a variety of professional and administrative duties in support of the day to day operations of a function, program, and/or department – this is not a secretarial position. Assists in program planning and development; interprets, monitors, and analyzes information regarding operating policies and procedures; administers budgets; and coordinates academic and/or staff personnel matters. Resolves problems that have a significant impact on the overall goals of the department.
Examples of Work Performed
Support the Vice President for Academic Affairs and Academic Units.
- Maintain and manage the Academic and VPAA calendars, including the scheduling of meetings with internal and external stakeholders.
- Process signed documents and archive/route them as appropriate.
- Monitor communications to and from the office of the VPAA.
- Manage budgets for the VPAA and designated academic units, including regular monitoring, travel reimbursements, annual memberships, budget recommendations, and end of year closeout activities along with associated reporting and communication.
- Assist guests and VPAA staff.
- Schedule meetings, prepare agendas/supporting documents, and generate minutes for distribution/archive.
- Provide daily support to the VPAA and various academic units including budget monitoring, faculty load/contracts, assessment reporting, meeting planning, faculty meetings, and accreditation activities.
- Work collaboratively with members of the VPAA leadership team.

- Function as a point of contact for NSCS institutions and the system office.
- Provide reports or information/data as requested.
- Complete travel requests/expense reimbursements for the VPAA.
- Create and manage data sources, communication, and reporting for promotion and tenure activities, Academic Policies, Graduate Council, Study Abroad, General Studies Committee, and other standing committees.
- Update files/documents in system repositories.
- Archive syllabi and other academic records.
- Perform assigned duties associated with convocation and commencement activities.
- Proofread/edit documents and communications generated in academic affairs.
- Support and facilitate the development, processing, tracking, and archiving of academic articulations agreements, internships agreements, partnership agreements, and contracts.
- Review faculty contract recommendations to ensure accurate information, descriptions, appointment types, salary, associated budget information, and appropriate approvals.
- Work collaboratively with Human Resources and the Director of Institutional Research to verify load requirements, salary calculations based on SCEA contract guidelines, and credit hour allotment per calendar year for adjuncts.
- Manage, oversee, and publish campus surveys and course evaluations.
- Maintain and archive all academic logs and student related reporting activities.
- Other duties as assigned by the VPAA.
Required Qualifications
Associate’s degree or work related experience.
