Event Coordinator
Job Description

Job Summary:

The Event Coordinator at the Thompson Alumni Center (TAC) serves as the primary contact for clients, guiding them through the entire event process, from the initial inquiry to post-event follow-up. This role oversees the reception area and supports the Event & Facilities Services Manager in coordinating all event logistics, including room setups, catering with the exclusive provider, audiovisual needs, rental equipment, and client site tours.

In addition to event coordination, the Event Coordinator handles key administrative responsibilities such as scheduling, preparing contracts, processing deposits, managing billing and invoicing, and maintaining accurate event records. This position is also responsible for generating reports and communicating detailed setup requirements to facility staff.

The Event Coordinator works closely with university departments, corporate and nonprofit partners, wedding and social planners, and external vendors to ensure events are executed smoothly and professionally. By providing both exceptional customer service and operational support, this position plays a vital role in the success of TAC event services.

Additional Info

Required Qualifications:

  • Associate's degree in hospitality, event management, communications, business administration, or related field.
  • Two (2) years of professional experience in event coordination, hospitality, customer service, or office administration with demonstrated experience in bookkeeping or financial transaction processing (e.g., billing, invoicing, payment tracking, or contract support).

  • Strong organizational and communication skills with the ability to manage multiple priorities.
  • Ability to greet and assist guests in person, over the phone, and through electronic communications

Equivalent education, training, or work experience may be substituted.

 

Preferred Qualifications:

  • Experience working in a university or conference/event center setting.
  • Familiarity with enterprise-level financial or scheduling systems (e.g., SAP, EMS, Cvent, or similar platforms).
  • Working knowledge of audiovisual equipment setup, troubleshooting, and client support.
